Welcome to the Mauritius Yellow Pages’ Tutorial for “MYP Quotation Settings”

As you may be aware, MYP aims to support local online commerce. As such we have added a quotation function as an extension to our Advanced Search option, that both Yellow Pages Members and Businesses can benefit from.

To access the Quotation Settings section from your dashboard menu you must be subscribed to a Classic+ Business Page or higher.

Quotation Settings help you to set up a template for your quotations, defining the appearance and information provided in a quotation and the quotation and order process. It is simple to setup your quotation template and conditions, however, some aspects are very important, such as communicating your Terms and Conditions.

Note that some details provided by you within the Business Details section of your Business Page account are automatically added to your quotation template, as some are related to the regulations when trading in Mauritius for example, your BRN - Business Registration Number, you VAT - Value Added Tax number where applicable, and quotation numbering.

There are two parts to the quotation settings:

On and Off settings

Graphics General Settings:

  • Your logo is fetched from your Business Page and inserted in the header of quotation,
  • If you turn this option Off, then only text will display if no external option is set
  • Apply Colour Layout;
    • If Off, only normal black and white is applied 
    • If On, the Yellow Pages colour theme is applied (Yellow, Black and Grey).

In the future we will have different templates and colour themes available.

Quotation Details Settings:

  • Apply trade name, if on, will overwrite the company name
  • Map link, if on will provide a map link of your location - so please also ensure that you have entered your map coordinates in the location section of your business dashboard
  • Enable upload Invoice:
    • If On, you will be able to upload an invoice once clients have accepted your quotation.
    • if Off, an invoice should be provided at the point of pick-up or at the time of delivery
  • Enable Delivery terms:
    • If On, two additional fields will be activated in the template:
      • Delivery time frame: meaning the Number of days
      • Delivery method: provides a text field for you to enter information
  • Enable Payment terms;
    • If On, two additional option fields will be activated in the template;
      • Payment Terms: if full payment is required you enter 100% in this field, if only a part payment is required, you enter the percentage required
      • Plus a payment text field for basic instructions
    • If Off no down payment or advanced payment is required
    • The modes of payment accepted are fetched from your business page

Important

You are always able to change the settings at any time.

Info and Details setting;

  • Template name: this is where you give your template a descriptive name, as in the future we plan to provide multiple template options;
  • Company Introduction: this should be seen as a way for the company to promote itself further and greet the customer before addressing the quotation;
  • Sales Person’s name: this helps to personalise the quotation and establishes a contact person who is responsible for sales;
  • Call to action text: this is important as it forms part of the closing the sales process, while enabling the business to further customise the quotation’s look and feel.
  • For “Conditions” you have three options:
    • Add an online link to your conditions if they are on your website, OR
    • Copy and paste your conditions into the text field, OR
    • Tick the box to use the template’s default conditions
      • Note that when you tick to use the default conditions, you are also accepting the MYP’s conditions of usage and MYP cannot be held liable for the Seller’s usage of the default conditions.
    • If you have Payment and Delivery terms settings ON; then within the info and details settings, you can enter the percentage of down payment and days of delivery.

While you are working on the template settings, we highly recommend you use the preview template function, as this will help you to see what your customer will receive.

IT IS IMPORTANT TO NOTE that you need to ensure that you have set up your business content well, for example - your Catalogue. This is where you should enter your primary products and/or services and ensure that titles are searchable. Here you might want to refer to the tooltips and the video tutorial “Catalogue Section And Function”.

Brands Carried. It is just as important that you have your brands carried list set up and make sure that they are correctly spelled. And both Brands and your Catalogue will also help to increase your presence in search results that again will lead to more quotation requests.

You must also ensure that you enter the map coordinates for your business in the location section of your dashboard to ensure that it appears in the advanced search results.

Quotation Generator

Welcome to the Mauritius Yellow Pages’ Tutorial for the “MYP Quotation Generator”

As you may be aware, MYP aims to support local online commerce. As such we have added a quotation function as an extension to our Advanced Search option, that both Yellow Pages Members and Businesses can benefit from.

Even as a business, you may still require products and services on a B2B - that is, Business to Business - basis. View the general quotation requests video tutorial for buyers for a better understanding of this function.

Now, let us proceed with the quotation generator process.

Firstly, to receive quotation requests you must be subscribed to a Classic+ Business Page or higher. You also need to ensure that you have set up your business content well, i.e. - your Catalogue. This is where you should enter your primary products and/or services and ensure that titles are searchable. Here you might want to refer to the tooltips and the video tutorial “Catalogue Section And Function”.

Once a quotation request is submitted the business or businesses will be notified by email, in the same way as with YellowMail, that there is a request for a quotation.

The request will contain the search criteria as the subject line, a message field describing the requirements, and a deadline for providing a quotation. It is important to understand that NO business will be able to submit a quotation after the deadline.

Within the quotation section of your dashboard there will be a record of the quotation request, its status and communication with the respective buyers that have requested a quotation. You will be notified by email when a business has submitted a quotation.

The quotations are standardised so that they all contain the following information:

 a greeting with a company intro;

the quotation table with the product or service title, and brand if applicable, i.e. - Air Conditioner - Samsung;

The product or service description, i.e. - 12,000 BTU, Non-inverter exclusive installation;

The number of units;

The payment terms - which can be a One Off charge or a Monthly or Yearly fee; and 

The subtotal price, VAT if applicable, and the total price.

Below the quotation table you will find both the “I accept the quotation” button for the member or user, the company’s general conditions, payment conditions and terms of delivery, in terms of number of days, and if the delivery is on location or pick up at an office or store location.

All general information or requirements that form part of the quotation template are pre-entered according to the information entered in the Quotation Settings section, also found within the business dashboard.

After entering the quotation details, the final step is to click “Generate Quotation” and our system creates and forwards the quotation to the member or user.

Once the quotation is accepted, you can issue an invoice by uploading a file. Delivery of the product or service should be as per your general terms and conditions, payment and delivery terms. If an invoice has been uploaded; you should update the Order status to “Invoiced”. Where payment conditions require part or full payment before delivery you are required to issue an invoice. 

Customers will update the Order Status to “Payment Effected” once they have made a payment. To confirm receipt of a part or full payment, you should update the Order Status to “Paid and Processing”.

At that time the Order Status is updated to Paid, your delivery terms will apply, i.e., 5 days. In the event that you do not deliver on time the Order Status will change to Incomplete. You can request an extension by changing the Order Status to “Extension Request”, at which point the customer will be notified. If the customer agrees, they update the Order Status to “Delivery Extended”. The extension is automatically set with the same number of days as per the delivery terms, i.e. - 5 additional days.

Once the you fulfilled the delivery, update the Order Status to “Delivered”. The customer will conclude the transaction by confirming delivery and updating the Order Status to “Confirmed”. 

Note that the Yellow Pages encourages consumers or customers to submit feedback for any business from whom they accept a quotation. The review will automatically be displayed on your Business Page. While this will help to brand your standard of service, it will also help to bring more consumers or customers to you.

Quotation Requests

On this page you will find the script for the video tutorial that guides you through the Mauritius Yellow Pages Quotation Requests Function for Buyers. Welcome to the Mauritius Yellow Pages’ Tutorial for “MYP Quotation Requests”.

As you may be aware, MYP aims to support local online commerce. As such we have added a quotation function as an extension to our Advanced Search option, that both Yellow Pages Members and Businesses can benefit from.

To request a quotation from a business, you must first be logged in. Once you have conducted an advanced search for a service or product, or you may also add a brand that you prefer, i.e: select the product “Air Conditioner” and the brand “Samsung”, the Quotation Request function is then available.

The businesses displayed on the results page will be in the form of a location map, with pointers that are linked to their business page, and on the right hand side a list of those businesses. To request quotations, you can select one, or several businesses from the list, OR select all of them by clicking on the “Select All” text.

 

Once you have selected the business or businesses, you choose the ‘Quotation deadline’, this is the length of time that the business has to respond to your request and it is set at 1 day by default. Click on the arrows or type in the number of days you want to receive a quotation by. The next step is to click on the “Continue” button that will direct you to the quotation request form. Note that within the quotation request process you do not have the option to “Hide your Identity”, as you do with YellowMail.

 

The quotation form will display the search criteria in the subject line, your basic details which includes your first and last name and account type. There is a message field that enables you to describe your requirements, and a deadline field displaying the number of days you set in the previous step that the business has to respond with a quotation. Note that no business will be able to submit a quotation after the deadline you set. The final step is to click “Submit Request”.

Within the quotation section of your dashboard there will be a record of your quotation request, it’s status and any communication with the respective businesses that have responded to your request. You will be notified by email when a business has submitted a quotation.

The quotations are standardised in such a way that you are presented with a company intro, followed by the quotation table with the product or service title (+brand if applicable), the product or service description, the number of units, and the payment terms (One Off, Monthly, Yearly), the subtotal price, the amount of VAT if applicable, and the total.

Below the quotation you will have the option to accept the quotation, plus the company’s general conditions, their payment conditions and terms of delivery, specifying the number of days, and if delivery is at your location or via pick up at an office or store location.

Once you accept a quotation, the company may issue an invoice and deliver the product or service as per their general conditions, payment and delivery terms. If an invoice has been forwarded, the status will change to “Invoiced”. 

When payment conditions require part or full payment before delivery an invoice is generally issued and you can change the Order Status to “Payment Effected” once you have done so. When the company receives a part or full payment, they will update the Order Status to “Paid”. At that time the company’s delivery terms will apply, i.e. 5 days. In the event that the company is not able to deliver on time, the Order Status will change to Incomplete. 

The company may request an extension by changing the Order Status to Extension Request, at which point you will be notified. If you agree you simply change the Order Status to Delivery Extended. The extension is automatically set with the same number of days as per the delivery terms.

Once the company has fulfilled the delivery, they change the Order Status to Delivered. You can confirm this by updating the Order to Confirmed. 

The Yellow Pages encourage customers to submit feedback about the company by sending review requests that are issued after you, the customer, have changed the quotation status to “Confirmed”. The review will automatically be displayed on their Business Page and it will help to guide other consumers or customers. The Order Status will then change to “Reviewed”

Search Options

On this page you will find the script for the video tutorial that guides you through the Search Options of the Yellow Pages. Welcome to the Mauritius Yellow Pages’ Tutorial for “Search Options”

To make searching for a business on the Mauritius Yellow Pages simple, we provide a number of search options including our Advanced Search Option(s).

The Search Bar displays the traditional search “What and Where” method by default, and when you start typing within one of the two fields a drop down menu will provide you with suggestions to help you find what you want;

The “What” relates to the category of a business, so now we will try to search a business category: “Accountant” or “Accounting Service”

The “Where” relates to the area you want to search for a business such as a village, city or the capital “Port Louis”

The search results list a number of businesses. There might be a business that is listed as unclaimed, this means that the contact details may be outdated. However, you can obtain our assistance by using YellowMail to contact this business, as our customer service team will facilitate all YellowMail addressed to Unclaimed Businesses.

Businesses that are verified will all have their basic contact information on the search results page

Before we look at this, let us look at the two other traditional search options.

When you click the options button, a drop down menu will display the Business Name and Phone Number search options;

So, if you know the business name and are looking for their details, you can for example search for event organiser “RB Events”; the search result is clear, and you can click on the info icon to access their business page to obtain their details.

You may also have a phone number and want to obtain the location or research the services they offer. Again you click on “Options,” select phone number from the drop down menu, and enter the phone number and in this search result it is a tour operator “LRT”. We can access their business page to research their services. 

As you will note their business page has some tourism brands that they offer. They have a catalogue section, and they have a video presentation. As they are a tourism business they also have a Book Now button integrated in the page that is linked to their online booking system.

Members YellowMail

On this page you will find the script for the video tutorial that guides you through the usage of YellowMail. You can view the video tutorial when you sign into your account and access the YellowMail section of your dashboard, or on our YouTube channel. YellowMail is just one of the great benefits of being a member of the Yellow Pages, you can now also send quotation requests to businesses for products or services, find out more here!

Welcome to the Mauritius Yellow Pages’ Tutorial for “YellowMail and Support - Members”

When you are logged in as a member, you will be able to access YellowMail directly from the Homepage or from your account dashboard.

At the top of the homepage you will note that “My Account”, “YellowMail” and the “Log Out” buttons are displayed. Clicking on the YellowMail button brings you directly to your YellowMail inbox, whereas “My Account” brings you to the member dashboard.

While searching on Yellow Pages you will note that both businesses listed in the search results and individual business pages have some function icons. One of these icons represents YellowMail and by clicking on the icon you are able to contact the business quickly and easily i.e.

  1. Click on the YellowMail icon and a message box opens,
  2. Type a subject,
  3. Type in your message,
  4. You have the option to tick “Hide identity”;
    1. which is beneficial for the first contact, and
    2. prevents spamming, and
    3. you can disclose at any time by un-ticking “Hide identity”,
  5. Click Send

YellowMail has a great synergy with the Yellow Pages advanced search option.

A record of your communication is found within the YellowMail section of your account. When you receive YellowMail it will be indicated on your dashboard, in the menu bar and on the YellowMail button at the top of the homepage. You will also receive a notification email “You’ve Got YellowMail” to the email address provided during your registration.

From your YellowMail inbox you will have a record of the latest communication. While any communication older than three months will be found in the archive section.

Another function within the YellowMail section is our support function, from where you can request assistance that generates a ticket. When you receive a reply from the Support team the same button turns blue.

Now that you know the benefits of YellowMail, you can start exploring the other features that are ONLY available to Yellow Pages members.

These features are not just related to YellowMail and the Yellow Pages Advanced Search but also special offers, submitting business reviews and applying to job vacancies to mention just a few. We will introduce more as we develop the Mauritius Yellow Pages further.
